Many of us are always on the go and work on multiple devices to maintain our productivity. At breakfast, we could be working on a tablet. Then we shift to a desktop at work. Lunchtime we tap away on a laptop. As we drive home, we use our cell phone. OK, the last one’s a very bad idea. Let’s discuss how to keep devices in sync when it comes to documents, e-mails, contacts, and appointments, so you’ll know what to talk about when you consult with an IT support expert.

Syncing On a Cloud

The most convenient method of synchronizing is using the cloud. Apps like Dropbox, Live Mesh, SugarSync, and MobileMe will let you synchronize folders on all the devices you use while backing up their contents online. The revisions you made on a document on one device will be reflected on the other copies on other devices. Other great features like using your smartphone or file sharing are also available with this cloud-based software.

Syncing On a Desk

If you are anxious for any reason about storing documents in the cloud, desktop-syncing software and freeware are also available. Applications such as SyncBack, GoodSync, SyncFolders, and SyncToy will let you sync a desktop and a laptop locally, for example, or over a home or office network. Some great features include being able to retain versions of replaced files, schedule automatic synchronization, and file encryption or compression. FTP sites, external hard drives, and servers can also be synced.

Syncing On a Drive

The least complex method is saving all the files you are currently working on an external device like a flash drive or portable hard drive. In a pinch, one can even use a tablet to back up. Manufacturers such as Samsung, Western Digital, and Seagate have made compact portable drives that hold 500 GB or more of data. They often come with software that will automatically back up a device. Using an external drive may be the only syncing method available if your company’s IT support staff won’t allow the installation of syncing software, but always check with them regarding what is permitted.
